Photographer, florist, DJ, caterer, cake designer, videographer -- the list of vendors for a wedding is long. And every single booking influences how your day feels. A stunning venue with mediocre catering? Disappointing. A talented photographer who does not connect with you personally? Uncomfortable.

As a wedding planner in Paderborn and the OWL region, I have worked with a wide range of vendors over the years. Through that experience, I have identified seven criteria that truly make the difference between a good vendor and a great one.

1. Personal Chemistry

This sounds soft, but it is the most important factor. You will be working with these people on one of the most emotional days of your life. If the chemistry is off during the initial meeting, it will not improve on the wedding day.

Pay attention to:

  • Do you feel heard and understood?
  • Does the vendor ask questions about you, or do they only talk about themselves?
  • Can you imagine working with this person in stressful moments?

2. Proven Experience

Experience shows itself not just in years, but in quality of work. A photographer with three years of focused experience and a strong portfolio can outperform one with ten years and outdated images.

Ask for:

  • Complete wedding galleries (not just their best individual shots)
  • References from previous couples
  • Experience with your type of wedding (size, venue style, aesthetic)

3. Transparent Pricing

Good vendors communicate their prices clearly and without pressure. If you have to ask three times before you get a number, that is a red flag.

Look for:

  • A clear description of what is included
  • Transparency about potential additional costs (travel, overtime, equipment fees)
  • Fair and understandable payment terms

A low price is only a good price if the quality behind it holds up. And a high price is only justified if you can see exactly what you are paying for.

4. Reliability and Communication

How quickly does someone respond to your inquiry? How dependable are their commitments? Communication before the booking is a strong indicator of how the working relationship will unfold.

Warning signs:

  • Responses consistently take more than a week
  • Promises are not followed through
  • There are no written confirmations

5. Flexibility and Problem-Solving

On the wedding day, things rarely go exactly as planned. A great vendor stays calm, thinks on their feet, and finds solutions -- without you as the couple ever noticing.

Questions for the first meeting:

  • "What happens if it rains and we need to change the plan?"
  • "How do you handle timing delays?"
  • "Have you ever dealt with a difficult situation at a wedding -- and how did you resolve it?"

The answers will tell you more about a vendor's professionalism than any portfolio ever could.

6. Contractual Clarity

Every booking should be documented in writing. A professional contract protects both sides and creates clarity.

The contract should include:

  • Detailed description of services
  • Date, time frame, and location
  • Total price including all additional costs
  • Cancellation terms
  • Illness or absence contingency plan

No contract? Do not book. It is as simple as that.

7. Style Alignment

This point is frequently overlooked. Every vendor has their own style -- and it should match your vision. A photographer known for dark, moody images will not deliver bright, airy photos just because you request them. That is not a flaw; it is their artistic identity.

My recommendation: Do not just look at highlights. Review complete projects. For photographers, view full wedding galleries. For florists, look at different weddings they have styled. For DJs, ask about different events they have hosted. This gives you an honest picture.
